What an AI usage policy should cover
A useful policy is short enough that people read it and specific enough that they know what to do. The generator builds these sections from your answers.
- Purpose and scope. Why the policy exists and who it covers, including contractors and personal devices.
- Approved tools and accounts. A named list beats a vague rule. Company accounts also give you control over settings and data handling that personal accounts do not.
- Data that must never be entered. This is the most important section. Be concrete about categories rather than saying "sensitive data".
- Human review. AI can be wrong while sounding certain. The policy should say where a person must check the output before it is used.
- Prohibited uses. Clear lines, such as impersonation and fake reviews, are easier to follow than general warnings.
- Reporting problems. People will make mistakes. A short, blame-free reporting rule means you hear about them in time to act.
How to roll the policy out
- Edit it. Replace the placeholders, delete anything that does not fit your business, and add rules specific to your industry.
- Have it reviewed. Check it against the laws and customer contracts that apply to you before you adopt it (see the FAQ below).
- Brief your team. Walk through it in person with real examples. A policy nobody has discussed is rarely followed.
- Make the right way easy. If you ban a tool, offer an approved alternative, otherwise people will quietly use the banned one.
- Review it. AI tools change quickly. Put the review date in the calendar.
AI usage policy generator FAQ
Is this legal advice?
No. It produces a general template. Laws about personal data, employment and AI differ by country and by what you do, so have the result reviewed by someone qualified before you adopt it.
Does my company need an AI policy?
If anyone on your team uses AI tools for work, even occasionally, you already have AI use to govern. A short written policy is the simplest way to set expectations about data and review.
Does this cover privacy and AI regulation?
It covers the basics of keeping personal data out of AI tools and keeping a person responsible. Depending on where you operate and how you use AI, data-protection law such as the GDPR and, in the EU, the AI Act may apply in more detail. This tool does not assess that.
Is anything I type stored or sent to you?
No. The generator runs in your browser. Your last answers are remembered only on your own device, using your browser's local storage. The Clear button removes them.
